What is n8n? A plain-English guide for business owners

n8n (pronounced "n-eight-n") is a workflow automation tool: a system that connects your apps and runs repetitive work for you, in the background, without a developer on every change.

The one-sentence version

When a form is filled, a lead arrives, a payment fails, or a spreadsheet needs updating, n8n catches the event and does the next steps automatically — sending the email, scoring the lead, updating the CRM, exporting the CSV — following the exact rules you draw on its canvas.

How it works

You build a workflow on a visual canvas by dragging nodes. Each node is one step: a trigger (a webhook, a schedule, a new row in a sheet) followed by actions (HTTP requests, filters, emails, file operations). When the trigger fires, the workflow runs top to bottom and passes data between steps.

Two things make n8n different from most automation tools:

• It runs anywhere. You can self-host it for free on your own server with Docker, or use the paid cloud version. Your data and workflows stay under your control.
• It is code-friendly without requiring code. Simple flows are pure drag-and-drop. When you need power, every node accepts expressions and JavaScript, so the ceiling is much higher than a typical no-code builder.

What people automate with n8n

The most common categories, in rough order of popularity:

• Lead handling: capture a form submission, score it with AI, notify the right person, and log it to a spreadsheet or CRM.
• Client operations: send onboarding sequences, follow-up emails, and status notifications on a schedule.
• Content and social: take an RSS feed, summarize articles with AI, and post to your channels.
• Back-office glue: sync invoices, monitor forms, archive files, and produce daily reports.

If a task happens more than once a week and follows rules you can write down, it is probably a candidate for automation. A good test: could you hand the task to an intern with a written checklist? If yes, n8n can do it while you sleep.

What does n8n cost?

Self-hosted n8n is free and open source (fair-code license). You pay only for the server it runs on — often a few dollars a month on a small VPS. n8n Cloud starts at a paid tier for individuals and scales from there. The real cost for most teams is time: designing, testing, and maintaining workflows.
